Quick Start Checklist

This checklist takes a new ArkanPM tenant from "just activated" to "ready for live operations" in roughly an hour. Work through the sections in order — each one unlocks the next.

1. Configure the tenant

Open Settings → System Settings. You will see four tabs: General, Notifications, Security, and Integrations.

  • General — set the organization name, default timezone, locale, and default currency (AED is the default for UAE operators).
  • Notifications — review the default channel mix (in-app, email, SMS, push) and set quiet hours for non-emergency notifications.
  • Security — confirm the password policy, session caps (default 5 for standard users, 10 for admins), and MFA enforcement for administrator roles.
  • Integrations — leave empty for now; we will cover this in the Integrations & API category.

Inline save buttons appear next to each field only when the value changes, so you can edit safely.

2. Create your first portfolio

Navigate to Portfolio → Portfolios → New. Enter a name, a portfolio code, and optional metadata. Portfolios are the top of the hierarchy and group properties for investment funds, operators, or property classes.

3. Register a property

Under the new portfolio, click Add property and fill in:

  • Name and property code
  • Type (commercial, residential, mixed-use, or industrial)
  • Address and coordinates (latitude and longitude)
  • Total area and year built
  • Tax ID and description

Properties cascade down to buildings, so you need at least one property before you can register a building.

4. Register a building

Open the property and click Add building. Buildings carry:

  • Code, type, floor count
  • Total area and year built
  • Address

Buildings are the primary unit for operations, maintenance, and building-scoped access control, so spend a minute getting the name and code right.

5. Sketch floors, zones, and units

Inside the building, add at least one floor with its level number, total area, and (optionally) floor plan URL. You can subdivide floors into zones later. Finally, add units with:

  • Unit type (office, retail, residential, storage, parking, common area)
  • Area and capacity
  • Rent amount and currency
  • Status (available, occupied, under renovation)

Even a single placeholder unit unblocks the lease and work order flows, so do not worry about completeness on day one.

6. Invite your first users

Go to Admin → Users → Invite. Enter each user's email and pick a role from the built-in list. If you invite a building manager, also assign them to one or more buildings — their access automatically scopes to those buildings thanks to the ABAC guard.

Administrator-role invitees will be prompted to set up TOTP MFA on their first login. Keep the backup codes handy.

7. Seed a maintenance category and an SLA

Head to Maintenance → Settings:

  • Create at least one work order category (for example, "HVAC" or "Plumbing").
  • Confirm the default priority SLAs: Emergency 1h response, Urgent 4h, High 8h, Medium 24h, Low 48h.
  • Decide whether SLA timers should operate in business-hours mode.

8. Test the loop

Submit a dummy work request, triage it, convert it to a work order, assign a technician, move it to "In Progress", and close it. Watch the audit trail record every step with old-and-new JSON diffs. If that round trip succeeds, your tenant is ready for real operations.
