Welcome to ArkanPM
ArkanPM is a multi-tenant property and facilities management platform that unifies portfolio oversight, maintenance operations, asset lifecycle tracking, resident services, and owner transparency into one role-aware system. This article walks new users through the platform's shape, the built-in roles, the first login flow, and the default dashboard.
What ArkanPM covers
At a high level, ArkanPM gives you:
- A hierarchical portfolio model (portfolios, properties, buildings, floors, zones, units).
- A full maintenance engine with work requests, work orders, dual SLA timers, and preventive maintenance schedules.
- Asset lifecycle management with parent-child assets, meters, depreciation, and transfers.
- Lease management, move-in and move-out inspections, meter readings, and key handovers.
- A resident portal with service requests, facility bookings, visitor passes, and announcements.
- An owner portal with ownership records, unit performance, and upcoming lease expirations.
- Integrations and webhooks for ERP, accounting, BMS, IoT, and Arkan platform handover data.
The 11 built-in roles
ArkanPM ships with 11 system roles. Every user you invite is assigned one of these roles (you can also define custom roles later):

The dashboard and navigation adapt to the logged-in role. Admins see organization-wide KPIs, managers see operational metrics, technicians see their assigned work, residents see their service requests, and owners see their portfolio performance.
Your first login
- Click the activation link you received by email.
- Set a password that meets the policy (minimum 10 characters with uppercase, lowercase, digit, and special character).
- If your role requires MFA (all administrator roles do), scan the QR code with an authenticator app and save the 8 backup codes somewhere safe.
- Sign in. A fresh access token is issued for 15 minutes and a refresh token for 7 days.
- Accept the notification preferences prompt, or skip it to configure later.
Dashboard tour
The main dashboard is a single page that reshapes itself based on your role. You can expect to see:
- KPI cards — open work orders, SLA compliance, occupancy rate, pending approvals, overdue inspections.
- Work order trends — a 6-month chart comparing open versus completed work orders.
- Occupancy by building — a color-coded list of buildings with progress bars (green, orange, red).
- SLA performance — a monthly compliance bar chart.
- Recent activity — a live feed of the latest work orders.
- Quick actions — role-specific buttons such as "Create work order", "Submit request", "Book facility", or "Schedule inspection".
The dashboard refreshes every 60 seconds, so the numbers you are looking at are never more than a minute stale.
