If you're the one with the wrench, the multimeter, or the mop bucket, this is your guide. ArkanPM runs in a mobile browser — no app to install. Everything you need is on your phone.
Signing in on the phone
- Open the ArkanPM URL in Chrome, Safari, or any modern mobile browser.
- Sign in with your email and password (and MFA if required).
- Tap your avatar icon and pick Add to Home Screen — you'll get a launcher icon that feels like an app but doesn't need updates from a store.
If push notifications are allowed, you'll get a browser prompt. Tap Allow to receive push alerts for new work-order assignments and urgent updates.

You don't see admin, portfolio management, or the resident portal. If you need access to something that's not there, ask your Facility Manager.
Your dashboard
Focused on what you need to do today:
- Assigned to Me — your live queue of work orders, sorted by priority and due date
- In Progress — WOs you've started but not finished
- On Hold — WOs you paused (waiting on parts, access, etc.)
- Overdue — anything past its resolution SLA
Tap a KPI to see the underlying list.
Your work-order queue
Sidebar > Operations > Maintenance > My Work Orders shows everything assigned to you.
Each row shows:
- WO number (e.g.,
WO-2026-00147) - Title
- Building and unit (if applicable)
- Priority (color-coded badge)
- Due date
- SLA status
Two view options: Table and Kanban. Kanban lanes are: Assigned → In Progress → On Hold → Completed.
Executing a work order
Opening the WO
Tap the WO row. You land on the detail page with:
- Title, description, priority, due date, type (Reactive / Preventive / Emergency / etc.)
- Location: building, unit, asset
- Checklist tab
- Parts Needed tab (if the template specified any)
- Comments tab (threaded conversation — internal only unless marked external)
- Attachments tab
- SLA Performance section (response + resolution timers)
Starting work
- Acknowledge the assignment if you haven't — tap Acknowledge if you see the button.
- When you're ready to begin physical work, tap Start Work.
- A modal asks for notes (optional). Add anything relevant (e.g., "On-site, inspecting now"). Tap Confirm.
- Status moves to In Progress. The response clock stops; the resolution clock keeps running.
Using the checklist
- Tap the Checklist tab.
- Work through items top-to-bottom. Each item has a response type:
- Checkbox — tap to mark complete.
- Text — type your note.
- Number — enter the value (e.g., torque in Nm, pressure in bar).
- Photo — tap Take Photo (or Choose from Gallery). The photo uploads immediately.
- Select — pick from a dropdown.
- Completed items show a strike-through.
Tip: Attach a photo to any item even if it's not a photo-type item — tap the paperclip icon next to the item. Photos are evidence; more is better.
Scanning an asset
If the WO references an asset with a QR or barcode:
- Tap the Scan Asset button on the WO page.
- Allow camera access on first use.
- Point the phone at the asset tag.
- ArkanPM confirms the asset and pulls up its service history, warranty status, and manuals in a side panel.
Adding parts
If you used parts from inventory:
- Tap the Parts Needed tab.
- Tap Add Part. Search for the part number or name.
- Enter the quantity you used.
- The cost is calculated automatically from the catalog. The part's stock level ticks down when you Complete the WO.
Capturing a meter reading
If the WO is for metered equipment:
- Tap the Meter Readings section.
- For each meter, enter the current value.
- Tap the camera icon to attach a photo of the meter face — this is your proof.
- Consumption is calculated server-side against the previous reading.
Putting a WO on hold
If you're blocked (waiting on a part, access, another trade):
- Tap Put On Hold.
- Choose a reason from the dropdown (Parts, Access, Third Party, Customer, Other).
- Add details in the notes.
- Tap Confirm. The SLA clock pauses. The WO moves to On Hold.
When the block is cleared:
- Tap Resume.
- Status returns to In Progress. The clock resumes.
Completing a WO
- When the work is done, tap Complete.
- A modal asks for resolution notes. This is where you describe what you did — be specific: "Replaced shower valve cartridge with OEM part PN-4478. Tested for leaks, none present."
- Confirm parts used and labor hours.
- Tap Confirm Completion.
- The WO moves to Completed. It's out of your queue. Your manager's queue now shows it for verification.
Comments vs. resolution notes
- Resolution notes — permanent record of what you did. Shows in status timeline.
- Comments — back-and-forth conversation. Internal-only by default (external parties don't see them).
Use comments to ask your supervisor questions ("Homeowner says there's a second leak on the roof — do I open a new WO or add to this one?") and use resolution notes to document the fix.
Preventive maintenance work
PM work orders look like reactive WOs but with:
Type: Preventive- A checklist pre-populated from the template
- Typical parts pre-listed in the Parts tab
Follow the checklist item by item. If you find a problem that needs follow-up work, tap Create Follow-up WO on the failed item — ArkanPM spawns a new reactive WO linked to this PM.
Tip: Finding problems during PM is a good outcome. Don't paper over them — logging the follow-up is how the portfolio stays in good shape.
Handling an emergency
Emergency-priority WOs:
- Bypass quiet hours on notifications — your phone alerts even at 2 AM
- Have a 1-hour response and 1-hour resolution SLA (ArkanPM defaults — verify with your manager)
- Escalate fast if you don't respond — typically Level 2 within 30 minutes
When you get an emergency alert:
- Acknowledge it immediately — tap the notification, then Acknowledge on the WO page.
- Communicate ETA in a comment.
- Start work as soon as you arrive on site.
Inspections (if you're also an Inspector)
If you hold both Technician and Inspector roles:
Sidebar > Operations > Inspections > Scheduledshows inspections assigned to you.- Tap one, then Start Inspection.
- Work through each item — same response types as the WO checklist.
- On any failed item, tap Create Follow-up WO if it needs corrective action.
- When done, tap Submit Report.

Warranties
If a defect might be covered by warranty:
- On the WO page, look at the Warranty panel.
- If the asset is under warranty, you'll see provider details and a Raise Warranty Claim button.
- Tap it. A claim form appears pre-populated with asset and defect details.
- Add any extra context and photos. Submit.
- Don't complete the WO until the warranty provider responds — put it On Hold with reason "Warranty Pending."
What to do if
You can't get to a building
Put all your on-site WOs On Hold with reason Access and notes explaining the block. Your manager is notified automatically.
Your phone dies mid-checklist
Nothing's lost. ArkanPM saves each checklist item as you submit it (not just at the end). When you sign in again, you're back where you left off.
You find the wrong part in your van
- Search the catalog on your WO page for the correct part.
- If your stock says yes but your van says no, file a Stock Adjustment in
Inventory > Adjustments(or ask your supervisor — not all technicians have adjustment permission).
You scanned a QR and it's a different asset than the WO says
Tap Report Mismatch on the WO. ArkanPM flags it for your manager to resolve. Don't proceed until the asset link is corrected.
You need a photo of something but the camera isn't working
Use the gallery option — snap the photo with your default camera app first, then attach from the gallery. No information is lost.
End of shift
Before logging out:
- Make sure every WO you started is either Completed, On Hold with a real reason, or still In Progress with fresh notes.
- Clear any pending photos — the upload queue should be empty (look at the bottom bar on mobile).
- Acknowledge any remaining announcements on the Dashboard.
- Sign out from your avatar menu if it's a shared device.
