If you own units or a portfolio that ArkanPM manages for you, this handbook covers your owner portal — what you can see, how to read it, and what's out of scope.

You won't see operational modules like Maintenance or Inventory — that's intentional. Your view focuses on ownership, financial visibility, and document access.

Your owner home

Sidebar > Owner Portal > Owner Home is your personalized dashboard. It shows:

  • Total units owned
  • Occupancy breakdown — occupied, vacant, under renovation, with trends
  • Monthly income — gross rent across your portfolio this month
  • Upcoming lease expirations (next 90 days) — units with leases about to end, so you have time to plan renewals
  • Open maintenance activity across your units — work orders in progress, recent completions
  • Recent document uploads shared with you

The dashboard auto-refreshes every 60 seconds.

Note: ArkanPM applies financial masking per role. Depending on how your tenant's administrator has configured access, some granular financial fields (individual unit expenses, vendor invoices, internal cost breakdowns) may be masked from the owner view. You always see what was agreed in your ownership arrangement — rent collected, occupancy, lease events.

My units

Sidebar > Owner Portal > My Units lists every unit you own, with:

  • Unit number, building, floor, type
  • Ownership type — Freehold, Leasehold, or Usufruct
  • Ownership share — your percentage (for co-owned units)
  • Acquisition details — acquisition date, acquisition method, acquisition price
  • Current lease (if any) — tenant name, lease end, monthly rent
  • Title deed — click to view the uploaded PDF

Unit detail page

Tap a unit to drill in:

  • Overview — specifications, area, capacity, amenities
  • Occupancy history — who's leased this unit over time
  • Maintenance history — every work order ever linked to this unit
  • Financials — income history, grouped by month/quarter/year (subject to masking)
  • Documents — unit-specific files shared with you (lease copies, inspection reports, move-in/out records)

Ownership records

ArkanPM stores your ownership records with full GCC-friendly fields:

  • Legal identity — Emirates ID, Iqama, Qatar ID, or passport (depending on your residency)
  • Trade license (for company owners)
  • Nationality
  • Power of attorney details (if a POA is acting on your behalf)
  • Banking — bank name, account number, IBAN (for rent disbursement)

Your administrator keeps these up-to-date. Check them at Sidebar > Owner Portal > My Profile > Ownership Details and request updates if anything is wrong.

Documents

Sidebar > Owner Portal > Documents is the scoped document library for owner-visible content:

  • Title deeds
  • Lease agreements for your units
  • Move-in / move-out reports
  • Inspection reports relevant to your units
  • Warranty documents
  • Financial statements (if your tenant shares them here)

Search, filter by category, and download PDFs.

Reading your financial summary

Monthly income

The monthly income card shows gross rent collected across your portfolio for the current month, with a 12-month trend chart.

Occupancy rate

Occupancy is the ratio of occupied to total units. Color-coded:

  • 🟢 Green: ≥ 90%
  • 🟡 Orange: ≥ 70%
  • 🔴 Red: < 70%

Tap the rate to see per-unit status (Occupied / Vacant / Under Renovation / Pending Move-In).

Upcoming lease expirations

The 90-day horizon shows leases that will end soon. Rows show tenant, unit, lease end date, and whether a renewal is in progress. Tap a row to drill into the lease.

Tip: Early visibility is the value here. If a unit shows 45 days out with no renewal in progress, it's time to ask your property manager whether they expect the tenant to renew.

What you can't do (on purpose)

  • Edit unit or building records — these belong to your tenant administrator and property manager.
  • Change ownership records — ownership changes go through a formal process your administrator manages.
  • Assign work orders or run maintenance workflows — that's the property manager's role.
  • Access other owners' units — you only see yours.
  • Modify lease terms — leases are managed by the property manager in coordination with you.

If you need any of the above, talk to your property manager.

Working with your property manager

Requesting an inspection

You can't schedule inspections directly, but you can request one:

  1. Sidebar > Owner Portal > My Units > [unit] > Request Inspection.
  2. Choose the inspection type (Move-out condition, Quarterly, Annual, Pre-renewal, etc.).
  3. Add a note.
  4. Submit. Your property manager gets a notification and will schedule accordingly.

Requesting maintenance

For a unit that's between tenants or that has an issue you've noticed:

  1. My Units > [unit] > Request Maintenance.
  2. Fill in the details.
  3. Submit. Your property manager approves and converts it to a work order.

Requesting reports

Need something custom? Contact your property manager directly — ArkanPM doesn't have a self-serve report builder for owners.

Notifications

My Profile > Notifications:

  • Per-channel (in-app / email / SMS) toggles
  • Quiet hours
  • Emergency override (always on)

Typical owner notifications:

  • Lease about to expire
  • Rent received (if configured)
  • Major maintenance event on your unit
  • Inspection report uploaded

What to look at regularly

Weekly:

  • Upcoming lease expirations — any rollovers this week?
  • Open maintenance on your units — anything stalled?

Monthly:

  • Monthly income trend — on target?
  • Occupancy by unit — any unit vacant longer than expected?
  • New document uploads

Quarterly:

  • 12-month occupancy and income trends
  • Inspection reports for each unit

What to do if

A number looks wrong on your dashboard

Don't panic — the dashboard refreshes every 60 seconds and pulls from the live data. If a number still looks wrong after a refresh, take a screenshot and message your property manager with the unit or building scope you're questioning.

You want to add a co-owner

This is an ownership-record change. Talk to your property manager; they'll coordinate the paperwork and update the record through the administrator.

You want to sell a unit

Again, ownership-record change. Your administrator processes the disposal with acquisition details and disposal price. The unit's ownership history is preserved in the audit trail for future reference.

You're travelling and want to hand control to a POA

Provide your administrator with the Power of Attorney document. They'll attach it to your ownership record so your POA can act on your behalf through the same portal (with their own login).
